Our client is seeking a highly organized, proactive, and hands-on Marketing Operations Manager to play a key role in supporting the efficiency and effectiveness of their growing marketing function.
This is a varied, delivery-focused position that goes beyond traditional project coordination. The successful candidate will work across the marketing team to manage priorities, coordinate cross-functional activities, remove obstacles to progress, and ensure projects move forward efficiently. They will help transform ideas into structured plans, engage the appropriate stakeholders at each stage, and support the smooth execution of marketing initiatives while reducing administrative workload across the team.

Key Responsibilities
  
Project Management & Delivery

  • Develop and maintain project plans, timelines, and action trackers for key marketing initiatives, ensuring milestones and deadlines are met.
  • Coordinate priorities, dependencies, and deliverables across multiple concurrent projects.
  • Proactively identify risks, resolve issues, and follow up on outstanding actions to keep projects progressing smoothly.
  • Support the early stages of new initiatives by preparing documentation, gathering information, and completing preliminary tasks to enable efficient decision-making.
  • Translate ideas into structured project plans, briefs, and actionable tasks.

Cross-Functional Collaboration

  • Work closely with internal stakeholders across departments, including Sales, Operations, Creative, Brand, Content, and Digital Marketing, to coordinate projects and campaigns.
  • Ensure marketing campaigns, product launches, events, and other initiatives are effectively planned and delivered in the correct sequence.
  • Facilitate clear communication between teams, ensuring actions are completed and key deadlines are achieved.
  • Provide operational support for cross-functional projects requiring strong coordination and project oversight.

Supplier & External Partner Management

  • Research, evaluate, and recommend external suppliers, agencies, consultants, and marketing tools based on business requirements.
  • Obtain proposals, compare costs and services, and present clear recommendations to stakeholders.
  • Manage the initial stages of supplier engagement, helping streamline selection processes and reduce administrative workload.
  • Coordinate onboarding activities and support the implementation of projects involving external partners.

Marketing Operations

  • Support the day-to-day operation of the marketing function by maintaining project schedules, meeting plans, status updates, and project tracking tools.
  • Ensure project management systems and workflows remain accurate, organized, and up to date.
  • Assist with prioritizing workloads to ensure marketing activities are delivered efficiently and on schedule.
  • Contribute to the development and continuous improvement of processes that enhance team productivity and operational effectiveness.

Stakeholder & Leadership Support

  • Prepare reports, project updates, presentations, and briefing materials for senior stakeholders.
  • Identify potential risks, resource constraints, and scheduling challenges, providing recommendations to support informed decision-making.
  • Help reduce administrative demands on senior leadership by coordinating follow-up actions, tracking progress, and ensuring projects remain on course.

Requirements

  • Previous experience (typically 2–5 years) in project management, marketing operations, account management, business support, coordination, or a similar operational role within a fast-paced environment.
  • Excellent organizational and time management skills, with a strong attention to detail and the ability to consistently follow through on commitments.
  • A proactive, self-motivated approach, demonstrating initiative and a strong sense of ownership when managing tasks and projects.
  • Proven ability to coordinate multiple projects simultaneously while maintaining accuracy and meeting deadlines.
  • Excellent written and verbal communication skills, with the confidence to engage effectively with stakeholders at all levels.
  • Experience working collaboratively across cross-functional teams and managing stakeholder communications to ensure projects remain on track.
  • Ability to work effectively in a dynamic environment, bringing structure, organization, and clarity to evolving priorities.
  • Proficiency with project management and collaboration platforms such as Monday.com, Asana, ClickUp, Notion, Jira, or similar tools.

Desirable

  • Experience working within a marketing, creative, technology, agency, or other fast-growth business environment.
  • An understanding of demand generation, campaign planning, go-to-market strategies, or customer lifecycle marketing.
  • Experience researching, coordinating, and managing relationships with external suppliers, agencies, freelancers, or consultants.
  • Familiarity with CRM and marketing automation platforms, such as HubSpot or equivalent systems.
  • Experience supporting businesses with multiple locations or operating within sectors such as property, professional services, or small and medium-sized enterprises (SMEs).
